Landscaping invoice template

A landscaping invoice is a bill issued by a landscape contractor or designer for creating or renovating outdoor spaces, including planting beds, lawns laid from sod or seed, grading, hardscape and drainage. Landscape installation is material-heavy, and its materials are measured in several different ways, so the invoice must state quantities in cubic yards, square feet and individual plants on the same page. The landscaping invoice template on this page builds that document in the browser and exports a PDF under the landscaping company's own name.

What a landscaping invoice contains

A landscaping invoice records the client, the property address and a description of the project, such as a front bed renovation or a new lawn in a side yard. Because landscape projects are often designed before they are built, the invoice frequently refers to an approved plan or estimate, and any changes to plant selections or quantities are noted so the final bill matches what was installed.

The line items normally separate design or consultation time, installation labor, bulk materials, plant material and site fees. Bulk materials such as mulch, topsoil, compost and gravel are measured in cubic yards, sod is measured in square feet, and trees, shrubs and perennials are counted individually. The quick-add items use exactly those units, so quantities on the invoice match the delivery tickets from the supplier.

How landscapers bill installation work

Landscape installation is usually priced by project from an estimate, then invoiced either on completion or in stages: a deposit when the client accepts the design, a progress invoice when materials are delivered or hardscape is finished, and a final invoice after planting and cleanup. Some companies bill labor by the crew hour and materials at cost plus markup, particularly for open-ended renovation work.

Design consultation is often billed as a separate item, sometimes credited against the installation if the client proceeds. Showing it as its own line makes that credit easy to record in the discount field rather than by altering the labor quantity.

Delivery, disposal and other landscaping fees

Bulk deliveries of soil, mulch, stone and sod carry a delivery fee that depends on the supplier and the distance to the site, and landscape renovations generate green waste that must be hauled away. Listing a Delivery fee and a Green waste disposal line keeps those costs visible. Other trade-specific charges include equipment rental for compact loaders or sod cutters, irrigation adjustments and dump fees for removed concrete or stone.

Plant guarantees and aftercare

Landscape contractors frequently guarantee plant material for a limited period, provided the client waters and maintains the plants as instructed. The terms of that guarantee, and any exclusions such as drought, frost or animal damage, belong on the invoice so that the client and the contractor share one record of what was promised. The notes field is suited to aftercare instructions such as the watering schedule for new sod and plantings.

Payment terms commonly used by landscapers

Because plants and bulk materials must be bought before work begins, landscapers commonly require a deposit when the estimate is accepted, with the balance due on completion. Commercial and homeowner association projects may follow net payment terms set in a contract. The template's default terms describe a deposit before materials are ordered and the balance on completion, and the wording can be changed to suit each project.

Where a project spans several weeks, progress invoices can be issued from the same template with the amount already paid recorded on each one, so the balance due remains accurate throughout the job.

Plant material is guaranteed for the stated period when watered as instructed. Green waste is removed and disposed of off site.

Limitations

The template calculates invoice totals only. It does not estimate material quantities from bed dimensions, design irrigation or lighting systems, or confirm local rules on drainage, grading, tree removal or pesticide application. Sales tax on plants, materials and landscaping labor varies by state, and the contractor should confirm the applicable treatment before tax is charged.

Frequently asked questions

How should mulch and topsoil be listed on a landscaping invoice?

Bulk materials are normally listed by the cubic yard, matching the supplier's delivery ticket. Each material, such as hardwood mulch, topsoil or compost, gets its own line so the client can see the quantity delivered.

Is sod billed per square foot or per pallet?

Suppliers often sell sod by the pallet, but landscaping invoices commonly bill the installed area in square feet, which reflects the work actually completed. The template's Sod item uses square feet for that reason.

Should a plant guarantee appear on the invoice?

Including the guarantee period and its conditions in the terms or notes gives both parties a written record. Typical conditions require regular watering and exclude damage from extreme weather or animals.

Can a landscaping invoice include landscape lighting work?

Low-voltage lighting fixtures and transformers can be listed as materials and installation labor. Line-voltage circuits feeding the lighting transformer are electrical work and are usually invoiced by an electrician.
