Lawn care invoice template

A lawn care invoice is a bill issued by a lawn maintenance business for recurring services such as mowing, edging, trimming and leaf removal, and for turf treatments such as fertilization, weed control and aeration. Unlike installation trades, lawn care is dominated by repeated visits to the same property, so the invoice usually summarizes a billing period rather than a single job. The lawn care invoice template on this page records visits and applications in the browser and exports a PDF under the lawn service's own name.

What a lawn care invoice contains

A lawn service invoice identifies the business, the customer and the property, then states the billing period, for example the calendar month. The scope line summarizes the service plan, such as weekly mowing with edging and trimming. Each service type appears as its own line with the number of visits or applications completed in the period, which makes it easy for a customer to check the invoice against the days a crew was on site.

Turf treatments are listed by application rather than by weight or area, because customers buy them as a program of treatments through the season. The quick-add Fertilization and Weed control items use the application as their unit, while mowing, edging and leaf removal use the visit.

How lawn care is billed: per visit, monthly and seasonal

Lawn care businesses typically use one of three billing models. Per-visit billing charges for each completed visit and suits customers who book occasional service. Monthly billing totals all recurring visits completed during the month on one invoice, which is the default in this template's terms. Seasonal or flat monthly contracts divide a season's price into equal instalments regardless of how many visits a particular month required.

Whichever model is used, showing the visit count on the invoice keeps the bill transparent. When a visit is skipped because of rain or drought, the monthly invoice simply records one fewer visit, and the default terms state that skipped visits are not billed.

Seasonal services and add-ons

Beyond weekly mowing, the lawn care calendar includes spring cleanup, core aeration and overseeding in the growing season, fertilization and weed control applications at intervals, and leaf removal in autumn. These are usually sold as add-ons to the recurring service and invoiced in the month they are performed. Core aeration is listed as a single item per property, since it is performed once or twice a year rather than on every visit.

Fuel surcharges and other lawn care fees

Mowing routes depend heavily on fuel, and some lawn care companies add a small fuel surcharge to each monthly invoice when fuel costs rise, rather than changing the per-visit price. Other trade-specific charges include debris haul-away for heavy leaf seasons, charges for overgrown first cuts and fees for gate access or extra trimming. Each is clearer as a separate line than as an unexplained change to the visit price.

Payment terms commonly used for lawn care

Recurring lawn service is commonly billed at the end of each month and due within a short period, such as 15 days. Many customers pay by automatic card charge or bank transfer, and the payment instructions field can describe the accepted method. Prepaid seasonal plans may be invoiced once at the start of the season, with later invoices showing only add-on services.

Treatment programs sometimes carry their own terms, for example that a re-application is provided at no charge if weeds return within a stated period. Such conditions belong in the terms field so that they appear on every invoice in the program.

Limitations

The template totals the visits and applications entered; it does not schedule routes, track visits automatically or generate recurring invoices on its own. Pesticide and fertilizer applications are regulated by state agencies, and many states require applicator licensing and specific customer notifications that this template does not provide. Sales tax on lawn services varies by state and should be confirmed.

Frequently asked questions

Should lawn care be invoiced per visit or monthly?

Both are common. Per-visit invoices suit occasional customers, while monthly invoices that total all visits in the month reduce paperwork for recurring service. The template defaults to monthly billing terms for recurring visits.

How are fertilization and weed control shown on a lawn invoice?

Each treatment is listed by application, with the number of applications completed in the billing period. Some businesses also note the product type in the description for the customer's records.

Are skipped visits charged on a monthly lawn care invoice?

Under per-visit monthly billing, visits skipped for weather are not charged, and the invoice shows the actual number of visits. Flat monthly contracts may instead charge the same amount each month regardless of weather.

Can a lawn care invoice include a fuel surcharge?

Yes. A fuel surcharge is usually shown as a separate fee line on each monthly invoice, so that it can be adjusted or removed without changing the agreed per-visit price.
